About the position
Our client is an established agricultural and production business seeking a driven, focused and detail-oriented Payroll & HR Administrator based in Krugersdorp to manage the full payroll administration process while providing hands-on HR and employee relations support.
This is a hands-on operational role suited to someone who is confident working with large numbers of employees, can handle challenging employee matters professionally and understands the importance of payroll accuracy, confidentiality, compliance and strict deadlines.
Responsibilities:
Payroll Administration
- Manage the full bi-weekly wage payroll process, from timekeeping through to final submission.
- Process payroll accurately using Sage 300 Payroll.
- Capture and verify new appointments, terminations, leave, overtime, allowances, deductions and employee changes.
- Reconcile payroll information and investigate discrepancies before finalising payroll.
- Ensure accurate processing of hours worked, overtime, leave, absenteeism and other wage-related items.
- Liaise with supervisors and managers to verify attendance and working hours.
- Maintain accurate and confidential payroll records.
- Meet all payroll deadlines consistently.
- Assist with payroll reporting, reconciliations and month-end payroll-related payments.
Time & Attendance
- Manage and monitor employee attendance using ERS, biometric or other time and attendance systems.
- Verify clocking information before payroll processing.
- Investigate missing or incorrect clockings, absenteeism, late arrivals and early departures.
- Liaise with employees and supervisors to resolve timekeeping discrepancies.
- Ensure time and attendance records reconcile accurately with payroll.
HR Administration
- Maintain accurate employee personnel files and HR records.
- Assist with onboarding and administration of new employees.
- Process employee movements, promotions, transfers, terminations and changes to employment information.
- Administer leave and attendance records.
- Assist with disciplinary and grievance processes.
- Prepare HR reports and documentation as required.
- Provide general HR administration support to management and employees.
Employee & Labour Relations
- Handle employee queries and concerns professionally and confidently.
- Deal calmly and fairly with difficult or confrontational situations.
- Support management with employee relations matters.
- Liaise with trade unions and shop stewards where required.
- Assist with disciplinary hearings, grievances, consultations and other labour-related processes.
- Maintain professional relationships with employees, supervisors, management and union representatives.
- Escalate complex or sensitive labour matters appropriately.
Requirements:
- Relevant qualification or experience in Payroll, Human Resources, Finance or a related field.
- Proven experience processing bi-weekly wage payroll.
- Strong working knowledge of Sage 300 Payroll.
- Experience with ERS, biometric or other time and attendance systems.
- Experience working with large numbers of employees and wage earners.
- Strong Excel and general computer skills.
- Practical understanding of payroll and HR administration.
- Experience handling employee queries and workplace issues.
- Strong understanding of payroll accuracy, confidentiality and deadlines.
- Experience with trade unions and/or shop stewards will be advantageous.
- Own reliable transport will be advantageous.
