About the position
ENVIRONMENT: A reputable online tutoring service, committed to delivering high-quality academic support to students across the UK, seeks an experienced GoHighLevel (GHL) Automation Specialist to design, build, optimise, and maintain the automation systems that power their marketing, sales, and client-delivery workflows. This is not primarily a basic GHL administration role. They need someone with strong practical automation expertise, able to translate business processes into reliable workflows, troubleshoot issues, and improve performance over time. Familiarity with the wider GHL platform from a user perspective is also important.
DUTIES:
• Design and build advanced GHL workflows for lead capture, nurture, booking, follow-up, onboarding, retention, reactivation, and internal notifications.
• Configure workflow logic using triggers, conditions, if/else branches, wait steps, goals, tags, custom fields, pipelines, opportunities, and task assignment.
• Build multi-channel automations across email, SMS, calls, voicemail drops, WhatsApp (where applicable), forms, surveys, calendars, and chat widgets.
• Set up and maintain contact segmentation, tagging conventions, custom fields, smart lists, and pipeline automations.
• Integrate GHL with third-party tools using native integrations, webhooks, Zapier/Make, APIs, and related automation platforms.
• Diagnose and resolve failed, duplicated, delayed, or incorrectly triggered automations.
• Audit existing workflows for logic gaps, deliverability risks, duplicate messaging, data quality issues, and opportunities to simplify.
• Create reusable workflow templates and scalable automation standards for multiple clients, locations, or sub-accounts.
• Support campaign launches and ensure automation journeys align with commercial and customer-experience goals.
• Document workflow logic, dependencies, naming conventions, and testing procedures.
• Monitor automation performance and recommend ongoing improvements.
REQUIREMENTS:
• Proven hands-on experience building and managing advanced GoHighLevel workflows.
• Strong understanding of GHL automation components, including triggers, workflow actions, conditions, event-based logic, tags, custom values, custom fields, pipelines, calendars, forms, surveys, and conversation workflows.
• Experience designing end-to-end customer journeys rather than simply configuring isolated automations.
• Practical experience with webhooks and integrations using Zapier, Make, APIs, or similar tools.
• Comfortable troubleshooting workflow logic and diagnosing automation failures from contact histories and execution data.
• Experience with email and SMS automation best practices, including consent, deliverability, timing, frequency, and opt-out handling.
Desirable experience:
• Experience working in an agency, SaaS, lead-generation, coaching, service-business, or multi-location environment.
• Experience with GHL SaaS mode, snapshots, sub-accounts, reputation management, memberships/courses, communities, or white-label deployments.
• Knowledge of CRM and sales-process design.
• Experience with Meta Lead Ads, Google Ads lead forms, Stripe, Calendly, Shopify, WordPress, or similar integrations.
• Basic familiarity with GHL page/funnel, calendar, form, and CRM configuration.
• Familiarity with WhatsApp automation and its compliance requirements.
• Basic HTML/CSS for email templates or landing-page adjustments.
ATTRIBUTES:
• Strong attention to detail, especially around trigger conditions, duplicate prevention, data structure, and edge cases.
• Ability to understand business requirements and turn them into clear, maintainable automation systems.
• Excellent written English and clear documentation habits.
