Effective Centre Management ensures the achievement and maintaining the annual returns from a property investment point of view.
ESSENTIAL FUNCTIONS AND BASIC DUTIES
- Managing Income and Expense
a. Responsible for effective budgeting of income and expenses.
- A thorough understanding of the rental income expected in terms of the existing leases and budgeting the proposed terms and conditions for the renewal of lease agreements.
- Calculation of turnover rental expected per tenants.
- Calculate rates recoveries per tenant bearing in terms of the expected expense.
- Interpreted meter reading reports of what is to be expected in terms of the recovery of Municipal expenses.
- Liaise with the operations manager in terms of the requirements for maintenance of the Centre and compile a long-term plan for the continuous maintenance of the Centre.
- Presenting the Centre's budget to the Asset Manager and owners.
b. Managing the finances for the Centre to achieve budget by:
a. Ensure that leases are timeously renewed.
b. Liaise with vacating tenants to ensure that they reinstate the premises in terms of their lease.
c. Ensure that vacant premises are in a condition to have a positive marketing outcome.
d. Ensure that a neatly designed "To let" sign or vinyl decal on the premises with your contact details, are installed.
e. Follow up on prospective tenants by considering the prospective tenants offering and if it will fit into the letting strategy for the property and that the market will respond to the offering.
f. On a regular basis discuss and agree to a letting strategy with your Asset Manager.
g. Canvas new prospected tenants by way of walking the streets, contact, and talk to prospective tenants. Know your immediate surroundings and competition.
h. Keep a record of discussions with prospective tenants and report on your progress monthly.
i. Conclude lease terms, assist with the process of getting the lease signed, and ensure that deposits are paid before tenants occupy the premises.
a. At all times have a clear understanding of what our position is in terms of outstanding rental of each tenant.
b. On a weekly basis have a discussion with your credit controller to understand what the items are that you can assist with.
c. Where you need the Asset Manager to assist you, have these meetings with your tenants to ensure that the arrears are paid.
d. Report on arrears in the management meeting.
e. Be part of the process of managing legal arrears.
f. Propose bad debt write off when needed.
- Managing the look and feel of the property.
a. Obtain a good knowledge of the costumer experience when they visit the Centre.
b. Considered all scenarios to ensure that the costumers have the best possible experience. Such scenarios include the level of cleaning and security that the Centre offer as well as the experience accessing the property.
a. Development of the Mall's Annual Marketing Strategy and Budget
- Assist the Marketing Executive with compiling a comprehensive marketing strategy in line with the Mall's objectives and research results on an annual basis.
- Assist the Marketing Executive to compile the marketing budget in line with the annual marketing strategy.
- Manage the execution of the marketing strategy on a daily basis.
- Manage and control the marketing budget and expenditure in line with marketing activities.
b. Development and Implementation of the Mall's Brand Strategy and Advertising Plan
- Coordinate the creative campaigns developed for the brand, Mall and event/promotion-specific campaigns and manage the creative process.
- Determine the preferred media and tools to use and to initiate all media planning and bookings.
- Act as the brand custodian for the Mall.
c. Management of the Marketing Department and Administration
- Managing all marketing and information staff when applicable and overseeing their KPI's.
- Managing day-to-day HR issues as required together with the Marketing Executive, MD and/or head office HR representative.
- Conduct regular performance reviews with each staff member when applicable and managing performance levels and recording this correctly on employee files.
- Facilitating team building, regular team meetings, portfolio meetings and performance reviews when applicable.
- Ensure all marketing assets are systematically registered and maintained.
- Hold regular marketing meetings and ensure minutes are accurate.
- Filing and maintenance of all records relating to the marketing of the Mall.
d. Planning and Implementation of Promotions and Events
- Sustain the brand awareness levels of the Mall through ongoing annual, seasonal, weekly events and promotions as documented in the marketing strategy.
- Conceptualise events/promotions in line with marketing strategy and Mall objectives and oversee the event team's implementation of the plan.
- Ensure efforts to secure sponsorships to enhance event spend where possible.
- To ensure that events are successful in building the brand, increasing quality foot traffic, driving turnover and extending dwell time.
e. Media Relations, Public Relations and Publicity
- Development of a PR strategy in line with the approved marketing plan and strategy.
- Oversee PR outputs to ensure ongoing efforts to secure publicity to maximize exposure for the Mall.
- Regular development of press releases.
- Develop an effective crises communication management plan.
- Ensure customer service is a priority and effectively communicated through all marketing activities.
f. Promotion Court and Sundry Sales
- Develop the promotion court sales strategy and oversee implementation.
- To supervise the promotional court sales function and to ensure that income targets are met and potentially exceeded.
- Ensure that promotional court displays, and activities are in line with Mall regulations and reflect positively on the Mall's brand.
- Manage contractual SLA's of media agencies appointed by the Mall to drive sundry sale income.
- To implement the necessary controls and procedures to ensure that the sales function is effective and result driven.
g. CSI Programme
- Development of CSI strategy in line with the marketing plan and marketing strategy.
- Implementing the Mall's CSI strategy.
h. Tenant Programme
- Ensure the effective implementation of a formal tenant relationship plan in line with the strategy.
- Initiate tenant training, workshops, service audits, awards program as required.
- Ensure effective communication plan including regular tenant newsletters and updates.
i. Reports
- Submission of detailed monthly report for Mall owner packs and as required.
- Presenting marketing budget and actual spending to shareholders (owners) as required.
j. Research
- To implement a research strategy as required and oversee the appointed service provider.
k. Supplier invoices
- Obtain supplier invoices and submit timeously for payment per the managing company's policy.
Minimum Requirements:
- Experience as Mall/Shopping Centre Management/ Regional Manager from the Retail sector.
- Relevant Qualification (Advantage)
