FMCG Order Administrator - Maitland at Red Ember Recruitment (PTY) Ltd

About the position

Red Ember Recruitment is hiring an Internal Sales Representative for an FMCG manufacturing client based in Maitland. This role is ideal for a detail-oriented, customer-centric individual who thrives in a high-pressure, fast-moving environment. You will be the first point of contact for sales orders, customer collections, and courier coordination while supporting the full order-to-delivery process.

This is not a typical sales position—it's a dynamic mix of sales administration, order processing, and customer service, focused on accuracy, efficiency, and a deep understanding of the FMCG supply chain.

Sales & Order Processing:

• Accurately capture and process sales orders from customers.
  
• Ensure all orders are processed in line with SOPs, from order receipt to final delivery.
  
• Liaise with the production and warehouse teams to ensure product availability and timely dispatch.
  
• Communicate order status, delays, or issues to customers professionally and promptly.
  

Customer Service & Collections:

• Ensure all customer collections are processed within 5–10 minutes of arrival.
  
• Prioritize VIP customer collections and provide exceptional service.
  
• Manage walk-in collections and courier pickups (ITT, Kargo, Quick Load, LMC).
  
• Ensure correct orders go to the correct customers and couriers.
  

Courier & Delivery Coordination:

• Track and follow up on all courier deliveries within 48 hours.
  
• Confirm full, undamaged receipt with customers before closing orders.
  
• Notify management of any delays or issues with courier services.
  

Payment & Finance Admin:

• Log and manage all forms of payment (Cash, Card, EFT).
  
• Obtain management sign-off for cash payments.
  
• Follow up on unpaid EFTs and CODs before releasing goods.
  
• Communicate payment confirmations to the order dispatch team.
  

Documentation & Reporting:

• Scan, file, and archive key documents:
  
• PODs (Proof of Delivery)
  
• Sales Orders.
  
• Delivery Route Forms.
  
• Maintain accurate records on Revo and Google Drive systems.
  
• Cross-check delivery records against PODs and reconcile discrepancies.
  

RequirementsQualifications & Experience

• Grade 12 / Matric (a relevant tertiary qualification is advantageous)
  
• 2–3 years’ experience in internal sales or order administration in an FMCG or manufacturing environment.
  
• Strong understanding of order processing and delivery coordination.
  
• Experience using order/inventory systems such as Revo or similar ERP platforms.

• Strong interpersonal and communication skills.
  
• Ability to multitask under pressure in a fast-paced environment.
  
• Customer-first attitude with excellent problem-solving ability.
  
• Proficient in MS Office (Excel, Outlook) and Google Drive tools.
