About the position
The Financial Systems Officer will help protect the quality of the firm’s client and matter data, support accurate and compliant matter opening, and provide practical CMS/Aderant support to users across the firm.
Qualifications and Experience:
- Matric is required; a relevant qualification in finance, compliance, business administration, information systems or a related field would be advantageous.
- Strong working knowledge of CMS/Aderant or similar legal practice management/financial systems.
- Practical understanding of FICA, KYC, CDD/SDD and client onboarding requirements, preferably within a legal, professional services or financial services environment.
- Confident user of Microsoft Office, particularly Excel; exposure to SQL, SSRS or reporting tools would be beneficial.
- Experience maintaining client and matter master data, supporting system users, and working with compliance documentation and audit trails.
Key performance areas:
- Maintain accurate client, matter, payer and related master data across CMS/Aderant and connected financial systems, ensuring records are complete, consistent and fit for reporting.
- Support end-to-end client and matter opening by verifying required information, taxonomy/class codes, matter details, VAT/tax information, billing arrangements and supporting documentation before activation.
- Coordinate FICA, KYC, CDD/SDD and beneficial ownership checks by reviewing documentation, saving evidence appropriately, and escalating missing or incomplete requirements to the relevant stakeholders.
- Ensure engagement letters, SLAs, panel appointments and related compliance documents are properly received, recorded and routed in line with firm procedures.
- Monitor daily reports, alerts and exception checks to identify duplicate, incomplete or inaccurate client and matter records, and take prompt corrective action.
- Provide responsive CMS/Aderant support to secretaries, fee earners and business services teams on file opening, payer codes, billing groups, currency queries, matter amendments and other financial system requests.
- Assist with compliance administration, reporting, data clean-up activities, backups and ad hoc financial systems tasks as required by the Financial Systems Manager.
