About the position

Position Title: Financial Administrator (Intermediate)

Department: Finance and Administration

Reports To: Financial Manager

Salary Range: R17,000 – R22,000 per month

Position Summary

 

The Financial Administrator plays a vital role in maintaining the accuracy and efficiency of the company's daily financial operations. This intermediate-level position requires a solid foundation in core accounting principles and practical experience in both Accounts Payable (AP) and Accounts Receivable (AR). The Administrator will ensure that all financial transactions are correctly captured, reconciled, and reported to support efficient business decision-making.

 

Key Responsibilities

 

1. Accounts Payable (AP) Management:

  • Process supplier invoices, ensuring proper coding to general ledger accounts and accurate data entry into the accounting system.

  • Reconcile supplier statements to internal records, identifying and resolving discrepancies promptly.

  • Prepare weekly or monthly payment runs for approval, ensuring payments are processed timeously and accurately.

  • Manage vendor records, ensuring all documentation is current and compliant.

2. Accounts Receivable (AR) Management:

  • Generate and distribute accurate customer invoices in accordance with sales documentation and project milestones.

  • Perform debtor collections, communicating professionally with clients to manage outstanding payments and resolve billing queries.

  • Allocate and reconcile incoming customer payments and ensure the accurate maintenance of the age analysis.

3. General Ledger and Month-End Support:

  • Assist with the preparation of standard monthly journal entries (e.g., accruals, prepayments, depreciation).

  • Perform bank and petty cash reconciliations daily and monthly.

  • Maintain the fixed asset register and ensure adequate supporting documentation is in place.

  • Assist the Financial Manager with preparing documentation for external audits.

4. Compliance and Administration:

  • Ensure adherence to internal financial controls and company policies.

  • Assist with the preparation and submission of VAT, PAYE, and other statutory returns documentation.

  • Maintain a well-organized and systematic filing system for all financial records, ensuring audit readiness.

 

Required Skills and Qualifications

 

  • Education: Diploma or Degree in Accounting, Financial Management, or a related field is preferred.

  • Experience: Minimum of 3 years of practical experience in a financial administration, bookkeeper, or similar role. Experience within a manufacturing or supply chain environment is beneficial.

  • Accounting Software: Proven proficiency with a recognized accounting software package (e.g., Pastel, SAP Business One, Oracle, or similar ERP system).

  • Technical Skills: Intermediate to Advanced proficiency in Microsoft Excel (VLOOKUPs, Pivot Tables, and financial data manipulation).

  • Core Competencies: Strong ethical standards, meticulous attention to detail, and a proactive, problem-solving mindset.

  • Communication: Excellent verbal and written communication skills to handle debtor and vendor inquiries effectively.
