About the position

Job purpose:

To be responsible for daily/weekly/monthly finance-related functions including the completion of the month-end results within the General Ledger and related monthly management reporting pack. In addition, to be responsible for the cashbook and for ensuring that all balance sheet accounts are properly reconciled each month. Assist the Branch Manager with operational management and administration.

Key Performance Areas

Daily/Weekly Finance-related Functions

  • To ensure that the daily cash management functions using the financial system are completed timeously and accurately by the Cashbook Clerk.
  • To ensure that the cashflow forecast is prepared daily in accordance with the procedures laid down.
  • To do reconciling of all loans and advances as required.
  • To monitor the Debtors bank account transactions.
  • Prepare and load payments on the ERP system and bank.

Monthly Finance-related Functions

  • To calculate commissions and rebates payable monthly.
  • To do daily sales and financial reports.

Month-end and Year-end Functions

  • To prepare the Balance Recon File for review including:
  • Stock
  • Creditors
  • Sundry accruals
  • Debtors
  • Cash book
  • and ensure that all major accounts are reconciled within monthly deadlines.
  • To eliminate the intercompany balances, establish the loan balance.

Creditors

  • To control and administer the creditors system
  • To control and schedule EFT and payments to suppliers

Other Finance-related Functions

  • Quarterly forecasts, market segmentation reports and all financial reports on a monthly basis.
  • To maintain all the accounts on the General Ledger .
  • To maintain the monthly pack reports.
  • To ensure that all balance sheet reconciliations have been reviewed by the Group Financial Manager
  • To perform any ad hoc financial analyses as determined by the Financial Manager.

Housekeeping and Safety

  • To keep the areas in which his/her staff are working in are clean and neat at all times in order to comply with the housekeeping standards laid down by OHS Act
  • To ensure adherence to the company's safety standards and the safety standards for all equipment in his/her department in order to comply with the standards laid down by OSH Act.
  • To report any accidents promptly in accordance with company policies and procedures.

Administration, Liaison and Reporting

  • To monitor branch progress against budget monthly and in the event of unacceptable variances, to take corrective action promptly.
  • To initiate requests for both general and capital expenditure within agreed parameters and forward some to the Group Financial Manager for authorisation.
  • To attend meetings as required and authorised and execute any decisions made at such meetings or on the instruction of the Group Financial Manager.
  • To liaise with the following in the course of her duties in accordance with the agreed procedures:
  • Debtors
  • Bank
  • To report to the Group Financial Manager on progress/ results achieved in all KPIs on a regular basis.

Staff Management

  • To ensure the achievement of her section's objectives via appropriate planning, organisational and control mechanisms.
  • To solve problems and make decisions timeously.
  • To institute a self-development programme with the assistance of the Group Financial Manager to ensure on-going personal growth and development.
  • To actively pursue opportunities to improve the services offered by the Accounts Department.
  • To demonstrate appropriate Leadership Skills aimed at enhancing the performance of the branch

Qualifications and Experience

  • Bachelor's degree in accounting, finance, or related field.
  • 2-3 years of experience in a financial accounting
  • Strong understanding of financial accounting , budgeting, and analysis.
  • Strong knowledge of financial regulations and accounting standards.
  • Proficiency in accounting software
  • Strong attention to detail and analytical thinking

Desired Skills:

  • Proficient in financial software and ERP systems
  • Syspro knowledge would be an added advantage
  • Advanced MS Excel skills
  • Ethics & Confidentiality
  • Attention to Detail & Accuracy

Desired Work Experience:

  • 2 to 5 years
