About the position
Postion Summary:
The incumbent will provide finance administration support and guidance to the SAEON employees to ensure smooth flow of transactions.
Key Responsibilities:
- Receive suppliers’ invoices and supporting documents, check for authenticity and prepare for payment
- Review utilities payables accounts, get all the necessary supporting documents, verify and process all utilities invoices for payment
- Receive petty cash claims documents from the Nodes and SAEON national office
- Review the supporting document, reconciled to cash on hand account and reimburse float by last financial day of each month
- Obtain Weekly bank statements and do weekly reconciliations followed by monthly reconciliation to general ledger bank control account on the 25th of every month
- Obtain monthly statement from suppliers, download or print SAEON payables General ledger accounts
- Do monthly creditors/payables reconciliation of all transactions to the General Ledger and suppliers statements
- Receive Invoicing request from SAEON projects managers and check the supporting documents such as contracts and milestone achievements for Authenticity
- Upload form accounting system, customer age analysis to analyse and identify overdue accounts and follow-up with customers
- Process all International subsistence and travel transactions
- Verify and validate application, letters, insurance details and any other supporting documents attached
- Perform monthly and quarterly reconciliation of advances and claims in order to provide information for financial reporting
- Provide first level checking and verification of documentation including contracts received for completeness and compliance with policies and legislative frame work
- Generate reports, schedules for audit purposes and ensure that they are reviewed and signed by the Accountant and Financial Manager before submitting to any Audit Official
Minimum Qualification:
- Diploma / Advanced Certificate / NQF 6
Minimum Experience:
- 3 Year National Diploma in Finance /Accounting or equivalentMinimum of 3 years' working experience gained within the finance and procurement functionalities
- Computer skills including MS Office, Accounting software and ERP (D365) systems
Experience:
- Handling and presenting data and information accurately
- Analyse and verify procedures and transactions accurately and logically
- Experience in General Ledger control accounts and accounting activities
- Compiling reconciliations as well as following standard operating procedures
- Proven ability to interact and engage with diversity of stakeholders
Knowledge:
- Demonstrate understanding of procurement and accounting workflow processes
- Sound knowledge of National Treasury Regulations, PPPFA regulations and the PFMA
- Sound knowledge of, and/or experience with Accounting control systems
- Sound knowledge of subsistence and travel (S&T) procedures and systems
- Demonstrable high level of analytical and interpretive skills
