About the position

Job purpose:
To support the Finance team with all finance related administration and coordination.
With inclusion of all and any Ad-hoc duties that may be required from time to time to support the head office.

Key Accountabilities:

  • Assist and follow up on overdue amounts AP/AR
  • Distribute statements and invoices to customers/vendors - monthly
  • Maintain AP/AR records
  • Assist the Senior Accountant to prepare reconciliation and reports on Debtors/Creditors on a monthly basis
  • Communicates and negotiates with clients to recover outstanding monies and arrange payment
  • Attend to queries
  • Report over-due amounts to Accounts Manager
  • Filing
  • Contact suppliers for outstanding / unbilled expenses and prepare sub-reconciliation

Key Accountabilities.
Creditors and Debtors

  • Capture / expense invoices-staff
  • Capture / expense credit notes-Staff
  • Request foreign currency for staff travelling overseas
  • Collect suppliers' statements and original invoices
  • Assist the Accountant with Foreign invoice processing
  • Continuous processing of invoices to prevent overdue accounts-follow the workflow process
  • Ensure supplier and customer invoices are vat compliant
  • Reconciliation of supplier statements and submit for payment
  • Debit Supplier Accounts should be resolved - weekly
  • Maintain Supplier and Customer Master records
  • Capture overheads-Admin expenses
  • Attend to queries
  • Follow up with department heads and managers
  • Filing
  • Insurance notification-additions or deletions -Intasure
  • Manage cellphone contracts renewals and upgrades
  • Upkeep of all lease records and office rentals
  • Assist receptionist with allocation of parking bays and access tags.
  • Maintain biometrics access system
  • Assist BBBEE Administrator with queries/reports and processing of BBBEE invoices
  • Assist when required in any Corporate Event i.e. Year End Functions any other.
  • Maintain petty cash for minor office purchases.
  • Assist with period end close ; ensure deadlines are met and assist with
  • Year-end Audits
  • HSE Representative officer and assist with Fire Drills
  • Ad-hoc duties may be required from time to time

Key Accountabilities.
Career / Job Experience:

  • 5 years working experience within an administrative role preferably in a finance division
  • 2-3 Years' experience in accounts administration
  • Proven organisational & administrative skills
  • Proficiency in MS Office packages essential ( Word,Excel,Outlook)
  • Working knowledge of SAP or any other accounting packages would be advantageous.

Education and Qualifications:

  • Senior Certificate (NQF 4)
  • Accounting degree or any other recognised post-matric NQF 6 qualification.
