Key Responsibilities:
Administrative Support
- Provide comprehensive administrative support to the Management Team
- Create and manage invoices twice weekly (and same-day prepayment invoices)
- Assist with briefs, reports, and presentations
- Support ad-hoc projects and event coordination, including research and records
- Maintain office systems and manage data and filing
- Keep price lists updated in the CRM system and complete RFPs
- Review and distribute annual price lists and corporate SLAs
- Ensure CRM system compliance by removing personal data older than 5 years
- Act as Administrator backup during high season or leave
- Close completed immigration cases and send lease/permit renewal reminders
- Administer client surveys as part of the quality protocol
Marketing & Digital Communication
- Review and recommend new media and systems
- Manage HubSpot CRM and email communications
- Create engaging newsletters and news alerts
- Track and report on SEO effectiveness
- Coordinate webinar invitations and follow-ups
- Manage the company’s LinkedIn page
Finance & Invoicing
- Generate invoices every Tuesday and Thursday
- Compile consolidated client invoices at month-end
- Use CRM system to track cases flagged for invoicing
- Pull and process the “settled but not invoiced” report weekly
- Address invoice-related queries promptly and accurately
- Ensure all invoice data is correct, including client info and payment follow-ups
You’ll Need:
- 3+ years' experience in a similar finance/admin support role
- Solid experience with invoicing and CRM systems (HubSpot experience is a plus)
- Strong administrative and organisational skills
- High attention to detail and confidentiality
- Comfortable working across multiple business areas (admin, marketing, finance)
- A proactive, can-do attitude and a team-first mindset
