About the position
The purpose for this role is to coordinate activities related to the maintenance, and to manage office furniture, office stationeries, supplies, and groceries. Facilitate and coordinate building space optimization, as well as staff office allocation. Liaise with the contractors for building maintenance and/or office equipment repairs, ensure maintenance to all office appliances and all activities related to Facilities.
Ensure that a safe, efficient and effective working environment that complies with applicable building regulations, such as South African National Standards (SANS) 10400, Occupational Health and Safety (OHS) ACT is maintained. This position will also be responsible for all Security and Safety related activities.
JOB DESCRIPTION
- Annual building maintenance schedules.
- Day–to-day up keep of the building.
- Coordinate work activity of contractors when on site for maintenance, and repairing of building structures and furniture according to specification and design when required.
- Assist in building and infrastructure projects.
- Coordinate development, coaching, mentoring and performance management of hygiene/cleaning staff, refreshment staff, driver/handyman and receptionists.
- Ensure the optimization of space within buildings and save costs.
- Adhere to turnaround times in respect of corrective and preventative maintenance.
- Responsible to ensure compliance to internal policies, procedures and OHS Act.
- Ensure Health, Safety and Environmental regulations are adhered to in line with the legal requirements for both company employees, visitors and contractors.
- Regular Interaction with Landlord.
- Monthly invoice payment.
- Maintenance schedule.
- Maintain conducive work relationship with all facilities staff and external contractors.
- Procure groceries and office cleaning materials.
- Building maintenance requirements.
- Procurement of movable assets (excluding computer equipment)
- Keep the stakeholders informed on the state facilities.
- Liaising with suppliers and landlord on required maintenance and fostering strong relationships.
- Procurement and disposal of assets (excluding computer equipment) – physical asset management process.
- Ensure that all buildings and movable assets are covered under the business insurance cover
- Maintain the OHS standard and processes, monthly meetings – do monitoring, and Inspections.
- Act as designated Emergency Controller.
- Ensure the optimization in the use of space and equipment while reducing operating costs.
- Keep financial and non-financial records.
- Review utilities consumption and strive to minimize costs.
- Assist in managing of company overheads and streamlining processes.
- To coordinate daily work activities of Receptionists, Refreshment Servers, Cleaners, and Handyman & Driver.
- In-put on performance appraisals/reviews of the subordinates.
- Procurement and disposal of assets (excluding computer equipment) – physical asset management process.
- Asset register updated.
- Ensure that all buildings and movable assets are covered under the business insurance cover.
- Assisting Project Manager.
JOB REQUIREMENTS
Qualifications
- Matric, or equivalent
- NQF Level 6 qualification in Facility Management and/or related, Construction Management is an added advantage
- Registration with the South African Council for Project and Construction Management Professions (SACPCMP) will be an advantage
Experience
- Minimum 5 Years relevant experience in Facilities and/or Contracts Management and/or related field.
