Overview of position
We are seeking an exceptionally capable and highly experienced Executive Personal Assistant to provide strategic, operational, and personal support to the Group CEO within a fast-paced and demanding travel management environment.
This is a high-impact role requiring a highly trusted right-hand and strategic partner who can operate with absolute discretion, anticipate needs, and seamlessly manage both business and personal priorities.
The successful candidate will play a critical role in optimising the Director/ Group CEO's effectiveness, ensuring smooth day-to-day operations, and enabling focus on strategic leadership and growth.
Executive & Strategic Support:
- Manage and optimise the Director's complex and ever-changing calendar in alignment with business priorities.
- Act as gatekeeper and facilitator, ensuring effective time utilisation.
- Track key business priorities, deadlines, and deliverables across departments.
- Prepare high-quality briefing documents, reports, and summaries for meetings and engagements.
- Apply sound judgement in prioritisation and escalation of matters.
- Act as an extension of the Director/ Group CEO where appropriate, ensuring alignment with intent and expectations.
- Support strategic projects and initiatives across internal and external stakeholders.
Travel & Industry Coordination:
- Oversee all aspects of complex domestic and international travel (flights, accommodation, visas, itineraries).
- Manage last-minute changes, disruptions, and time-sensitive travel requirements across time zones.
- Ensure compliance with visa requirements, travel policies, and international regulations.
- Liaise with airlines, hotels, travel partners, and VIP service providers.
- Maintain detailed travel profiles, preferences, and records for seamless future coordination.
- Coordinate the Director's participation in conferences, events, and international engagements.
Stakeholder & Relationship Management:
- Serve as a key liaison between the Director and senior executives, clients, and partners.
- Manage communication on behalf of the Director with professionalism and discretion.
- Build and maintain strong relationships with key stakeholders.
- Ensure consistent, high-quality engagement aligned with company standards.
Operational & Administrative Excellence:
- Maintain confidential records, contracts, and sensitive documentation.
- Manage expenses, budgets, and financial administration.
- Oversee ad hoc projects and ensure delivery within agreed timelines.
- Ensure all administrative processes are efficient, accurate, and up to date.
Systems & Process Management:
- Develop and maintain effective systems, trackers, and workflows.
- Ensure documentation and communication are structured and accessible.
- Continuously improve processes to enhance efficiency and reduce operational friction.
Personal Support to the Director/ Group CEO:
- Provide seamless personal assistance, including appointments, logistics, and day-to-day coordination.
- Coordinate personal travel, events, and household-related matters.
- Handle sensitive personal matters with absolute discretion and sound judgement.
- Anticipate needs proactively to ensure balance and efficiency across personal and professional commitments.
Salary Bracket
Negotiable, depending on experience, qualification(s) and current / previous package.
