CORPORATE SERVICES - EXECUTIVE AND COUNCILLOR SUPPORT OPERATIONS
EXECUTIVE COMMITTEE OFFICER
BASIC SALARY: R532 737 TO R635 305 PER ANNUM - REF NO: CS 109/25 - CIVIC CENTRE, CAPE TOWN
Requirements:
- Relevant post-matric qualification, preferably a diploma in Public Management/Public Administration/Governance or related field
- Three (3) to five (5) years' relevant experience
- Knowledge of relevant City policies, procedures; protocols, practises and legislative requirements
- Computer literacy and proficiency in MS Office and SAP.
Key performance areas:
- Provide committees support and related administrative functions to Council, the Executive Mayor and Mayoral Committee (Mayco), Section 79 (Portfolios), Section 80 and other statutory committees of Council
- Receive and interrogate reports for submission to decision-making structures to ensure administrative compliance and alignment with Committee Services protocols
- Monitor relevant electronic documentation on the Executive Support website and ensure correctness of agendas, minutes, reports and supporting documentation applicable to each portfolio
- Ensure accurate compilation of agendas, notices, memos and minutes, for timeous circulation to members and officials for actioning
- Liaise with printing in respect of printing and distribution requirements for hard copy agendas, where required
- Prepare and submit recommendations from Portfolio and other Committees to higher delegated authorities for consideration
- Compile "Matters outstanding list" to monitor and communicate progress to committees and officials
- Monitor and ensure the actioning of final Mayco and Council decisions for workflow and implementation monitoring via the Council Decision Implementation Tool (CDIT)
- Ensure compilation of agendas using the SAP eAgenda system
- Submit details of reports received via eAgenda, and included on meeting agendas for capturing via the TIMED tracking tool for monitoring
- Maintain statistical data on all agenda compilations and minutes for quarterly stats reports
- Guide PC chairpersons in regard to applicable protocols at meetings i.e. Rules of Order, Terms of reference, System of Delegations etc.
- Provide support regarding logistics and requirements for committee meetings
- Transact on, monitor and propose enhancements to ECS electronic systems
Ensure maintenance and recordkeeping of all electronic documentation pertaining to Council, Mayco and committees
Capture councillor attendance at meetings on the relevant SAP portal.
