About the position

The Executive Assistant to the CEO plays a critical role in providing high-level administrative support to the Chief Executive Officer. The purpose is to enhance the CEO's effectiveness by managing a wide range of administrative tasks, facilitating communication, and ensuring the smooth operation of the CEO's office.

Accountabilities include:

  • Administrative Support: Manage the CEO's calendar, schedule appointments, and coordinate meetings. Handle travel arrangements, itineraries, and logistics for the CEO.
  • Communication Management: Serve as a liaison between the CEO and internal/external stakeholders. Draft and edit correspondence, emails, and other communications on behalf of the CEO.
  • Information Management: Maintain confidential files, records, and documents for the CEO. Research and prepare briefs, reports, and presentations as needed.
  • Meeting Coordination: Organize and coordinate executive-level meetings, including preparation of agendas and necessary materials. Record and distribute meeting minutes.
  • Project Support: Assist in managing special projects and initiatives as directed by the CEO. Coordinate cross-functional teams and ensure project timelines are met.
  • Stakeholder Management: Build and maintain positive relationships with key stakeholders. Serve as a point of contact for internal and external inquiries directed to the CEO.
  • Budget Oversight: Assist in monitoring and managing the budget allocated for the CEO's office. Track expenses, process invoices, and ensure budget compliance.
