About the position

Red Ember Recruitment is recruiting on behalf of our client for a proactive and detail-oriented Draught Administrator. This position is responsible for handling administrative support functions related to callout processing, technician coordination, vehicle documentation, and weekly reporting. The ideal candidate should be comfortable working in a high-paced environment, with a keen eye for accuracy, effective communication skills, and the ability to work independently as well as part of a team.

Key Performance Areas (KPA’s) & Key Performance Indicators (KPI’s)
1. Callout Coordination and Closure

  • Open and capture new callout requests accurately.


  • Dispatch technicians within the agreed turnaround times.


  • Log technician arrival estimates.


  • Review and close job cards after completion.


  • Verify flow meter readings and glassware delivery accuracy.




  • Log and report any non-deliveries with appropriate reasons.
    Output: All callouts are processed and completed according to company standards.


2. Weekly Reporting and Pack Submission
  • Capture and analyse technician stock counts.


  • Process invoices related to stock, callouts, and travel.


  • Update relevant data onto internal tracking databases.


  • Capture and analyse kilometre claims from technicians.




  • Complete and submit weekly admin reports.
    Output: Accurate and timely submission of all weekly packs and reports.


3. Technician Vehicle Administration
  • Conduct weekly vehicle inspections for technicians.


  • Schedule services, renew license disks, and track vehicle-related documentation.




  • Submit all completed documents to the relevant fleet administrator.
    Output: All technician vehicle records are kept up to date and compliant.


Working Conditions
  • Office-based environment with occasional off-site inspections.


  • Interaction with technical teams, operations staff, and fleet support.


  • Standard business hours with flexibility required during peak periods.


  • Frequent use of computers, phones, and office software tools




RequirementsQualifications & Experience
  • Relevant qualification.
  • Exposure to a client service environment.
  • 1–2 years’ experience as a Data Capturer.
Skills & Knowledge Required
  • Strong analytical skills.
  • Intermediate proficiency in Microsoft Office (Excel, Word, Outlook).
  • Knowledge of working with databases (advantageous).
  • Professional telephone etiquette.
  • High attention to detail.
