About the position

Introduction

Assist both internal and external customers in a professional and friendly manner, perform general office and administrative duties in a timeous and structured manner.

Duties & Responsibilities

  • Assist with daily and monthly reporting where necessary
  • Perform general office duties e.g. filing and updating on notice boards
  • Manage the files for D.E.C, Internal Audit, customer surveys and related files
  • Assist logistics staff and customers with general queries
  • Take minutes in meetings (distribution meetings)
  • Participate in stock take
  • Generate correspondence between management and crew
  • Control POD's and debriefing process and ensure registers are completed - ensure all delivery notes are returned
  • Ensure debriefing processes are adhered to by all departments
  • Ensure processes are adhered to (delivery, PPE etc.)
  • Invoicing of all delivery notes
  • Debriefing
  • Verify investigation of short deliveries
  • Handle Call Centre complaints, respond in 24 hours and resolve within 48 hours and closure completion Uplift arranged where needed
  • Back-up for reception when needed
  • Arrange maintenance with vendors as and if needed
  • Maintain fixed asset register and safe register
  • Dispatch on Time > 95% •A.D.N. % >95% •MST% > 80% •Planned vs. Actual between 97%-103% (OD) and 95%-105% (FB) •Infinity Usage >95%
  • Communicate delays to stores
  • Daily Tracking of delivery vehicles
  • Ensure all Trackmatic KPI's are achieved daily
  • Ensure all Drive Cam events are actioned accordingly daily
  • Assist and help in all sections when required to do so
  • Ensure temperature control is in place food safety
  • Ensure retail process is adhered to

Desired Experience & Qualification
  • Numeracy and literacy skills
  • Computer skills - working knowledge of MS Office including Word, Excel and Power Point
  • ERP system knowledge
  • Good overall department timekeeping skills
  • Ability to communicate effectively across all levels
  • Ability to work as an individual at times as well as in a team environment
  • Sage X3 experience would be an advantage
  • As per individual scorecard
  • Open to fulfill Ad-hoc request from time to time
  • Matric
  • Minimum 3 years' experience in similar role
