Job Description A leading food importer and distributor with a national footprint is currently looking for a Debtors Clerk. Role Description The Senior Debtors Clerk will be responsible for the full debtors function, including managing key retail and eCommerce customer accounts, processing claims and credit notes, reconciling accounts, and ensuring timely collections. Key Responsibilities Full management of the debtors book for all major Retail, eCommerce, and independent customers Daily and weekly collections follow-ups and resolving outstanding payments Reconciliation of debtors accounts, payment allocations, and remittance processing Management and processing of claims and credit notes via retail customer portals Oversight and resolution of all issues related to PODs, returns, credit notes, and claims Regular engagement with warehouses to ensure alignment on deliveries and supporting documentation Accurate and timely submission of statements to retail customers in accordance with strict deadlines Handle and process credit applications and account openings in conjunction with credit bureaus Conduct weekly status meetings with the CFO regarding the debtors book health Maintain strong relationships with key retail accounts and buying groups Monitor eCommerce transactions and ensure accurate bank allocations Utilize Pastel Partner and other ERP systems for financial processing and reporting Ensure compliance with company credit policies and contribute to risk management strategies Qualifications & Experience Minimum 5 years of experience in a Debtors Clerk or similar role Prior experience managing retail debtors (e.g., Woolworths, Spar, Checkers, PnP, Makro, etc.) is essential Strong working knowledge of FMCG sector operations and dynamics Proven experience handling key account portals and managing related claims Solid Excel skills for reconciliations and reporting Experience with Pastel Partner is required; familiarity with other ERP systems is an advantage High attention to detail and accuracy under pressure Ability to meet tight deadlines and manage competing priorities Strong communication and interpersonal skills to manage customer relationships and internal stakeholders
