About the position

Purpose of the job:
Critical role. Responsible for coordinating the debts of the company and deciding whether to allow credit to a debtor - ultimately responsible for managing all money borrowed or owed to the business.
The role includes conducting credit checks on new customers, resolving problems in relation to invoice payments, and reconciling complex month-end accounts. They must also report to management on outstanding issues, whilst highlighting potential debtor problems.

Steel industry experience preferred.

Requirements:

  • Qualified Credit Controller with Matric and a relevant qualification will be an added advantage
  • Excellent Computer Literacy skills
  • Knowledge of SAGE system
  • High levels of professionalism and etiquette in dealing with all external stakeholders
  • Ability to work independently
  • Ability to work under pressure and meet all required and critical deadlines
  • Good team-player

Duties and responsibilities:
Receipting

  • Download Credits from the Bank for the previous day
  • Populate customer numbers and invoice numbers for the COD invoices
  • Email the Daily Credit listing to all branch Managers and sales staff for allocation
  • Receipting of EFT receipts
  • Confirmation of COD deposits in the bank account

Cashbook

  • Full responsibility of the manual Cashbook for Receipts to ensure that ALL receipts reconcile and balance
  • Total responsibility for matching ALL receipting on the SAGE cashbook

Credit Notes

  • Processing of all Credit Notes for the branches and be sent to Admin on a daily basis from Operations

Credit Guarantee

  • Compilation of documentation packs for claims and collection matters
  • Filing of all Credit Guarantee Documents
  • Submission of the monthly Declaration to Credit Guarantee

Debtor Management

  • Verify new Customers Applications. This will include Trade references, cregalink application and ITC Check Reports. Prepare for FM to sign off before account is opened
  • Preparation of all Refund request documentation for the FM to sign off
  • Sending Customer statements, invoices and POD's upon Request
  • Preparation of Customer Specific Recons.

Month End Close

  • Ensure that debtor statement run is sent out within 4 working days after the previous month end
  • Follow up on the error/ rejected list from the Debtor statement run. Make the required changes

Cash Flow

  • Accurate Daily and Monthly Collection projections due by 22nd, the latest, each month. To be submitted to FM
  • Telephonic cash collections of all outstanding balances. These include both current and overdue amounts

Reports and Journals

  • Preparation and distribution of the Customer on hold report to all branch managers. This report is to be distributed by the 8th, the latest of each month
  • Preparation of Debtor management reports. These reports are to be submitted to Managements at least 1 week prior to the management meeting (or by 25th the latest)
  • Preparation of documentation for all debtor related journals (except for COD and short banking)
  • The journals, together with all supporting documentation must be given to the FM for sign off and posting. These journals may include but are not limited to write offs, clearing of internal customer accounts, etc.

Customer Visits

  • Schedule visits to existing and prospective customers as and when required
  • The timeous resolution of all customer disputes and credit notes. Non-compliance should be escalated to line manager

Debtor Ageing

  • Ingoing maintenance of the Age Analysis so that old balances are resolved timeously
  • Unallocated Deposits: Monitoring of the unallocated Deposits account to ensure that the prescribed deposits are journalized to the Income statement
  • Facilitates Request for all incoming Trade References on customers
