About the position

Our client, a leading mining company is looking to appoint a Construction Officer to join their team for a 42-month contract based in Kathu, Northern Cape.

The main purpose of this role is to Coordinate and manage construction site documentation and administrative tasks, ensuring compliance with project standards and efficient site operations.

REQUIREMENTS:

  • Grade 12
  • Relevant qualification in Construction Management/Civil Engineering or a related field on NQF5
  • Valid driver's license and own vehicle.
  • Construction safety certification (e.g., Construction Health and Safety Certification) (advantageous)
  • 3-5 years of relevant experience in the administrative side of construction, ensuring that all site-related activities are properly documented and managed and that construction documentation is in line with project standards.
  • Understanding of construction project management principles and best practices.
  • Familiarity with Document Management Systems (DMS) and related software tools.
  • Knowledge of site access control protocols and security measures.
  • Proficiency in document management systems and construction project management software.
  • Strong organisational and time management skills for handling multiple tasks and deadlines.
  • Ability to format and standardise documents according to specific requirements.
  • Competence in preparing and presenting reports and documentation.

Duties & Responsibilities:
Safety and Health

  • Support a safe and healthy work environment where workers, external service providers, and contractors can deliver their outputs within a controlled risk environment.
  • Keep environmental impact within statutory requirements to ensure compliance.
  • Support the compliance to MHSA in the workspace.
  • Participate in VFL initiatives and submit the required number per month.

Performance and Delivery
Document Management and Control:

  • Implement and manage document control processes aligned with project standards, ensuring all documentation is accurate, up-to-date, and authorised.
  • Maintain the Project Document Management System (DMS) by regularly updating process checklists, project organograms, technical documents, and various registers (e.g., change, technical, and others).
  • Format and standardise official project documentation according to the company's required standards, ensuring consistency and compliance.

Stakeholder Communication and Coordination:

  • Facilitate the authorisation and circulation of documents between stakeholders, ensuring seamless communication and timely updates.
  • Represent the project team in meetings, particularly concerning project construction administration, and address any documentation-related issues or concerns.
  • Record and maintain meeting minutes, decision registers, daily diaries, and other construction-related activities, ensuring a comprehensive record of project progress.

Site Access and Construction Administration:

  • Oversee site access control for the project construction team, ensuring that security protocols are followed and access is effectively managed.
  • Assist with the document approval process, working closely with relevant stakeholders to ensure all documentation meets project requirements.
  • Support the document control service in managing and organising construction documents, assisting as needed.

Reporting and Progress Tracking:

  • Prepare and compile progress reports and presentations as the project management team requires, ensuring that all relevant information is accurately captured and presented.
  • Assist in monitoring and reporting project progress, identifying potential issues, and ensuring all activities align with project goals.
