About the position
We are currently sourcing a highly experienced Commercial Property and Conveyancing Secretary for an opportunity based in Sandton. This role requires a proactive professional who can confidently manage high volumes of conveyancing matters, handle high-pressure environments, and take full ownership and responsibility for their files.
Key Responsibilities
- Conveyancing & Transfers: Take instructions for transfers, including sectional titles, which involves drawing, checking, and arranging the signing of documents, as well as registering final accounts and dispatching documents to clients.
- Lodgements & Registrations: Prepare files accurately, attend to lodgements and registrations for all conveyancing matters, and conduct property, person, and company searches.
- Legal Administration & Typing: Type, format, and incorporate amendments into legal documents and commercial agreements, requiring confident copy-typing skills.
- Compliance & Filing: Manage FICA administration to ensure all requirements are complete, and maintain up-to-date electronic and hard copy filing systems.
- Client & Stakeholder Liaison: Liaise efficiently with clients, correspondents, and internal deeds office clerks/drivers, while maintaining/updating client contact details.
- Billing & Financial Duties: Capture timesheets for multiple professionals, prepare pre-bills and billing memos for clients, and follow up with debtors on unpaid invoices.
Requirements & Experience
- Education: A Matric certificate is essential, and a legal secretary or conveyancing qualification is highly advantageous.
- Experience: A minimum of 8 years of conveyancing experience is required, and experience with bond cancellations is advantageous.
- Software Mastery: In-depth knowledge of conveyancing software and systems, specifically Lexis Convey, E4 (portal-based), Windeed, and Search Works.
- Computer Literacy: Full working knowledge of all MS Office packages.
