Our client, an established clothing and apparel manufacturing organisation, is seeking a highly organised and detail-oriented Clothing Production Administrator to provide administrative and coordination support across production, warehouse, shipping, suppliers, and sales. The successful candidate will be responsible for ensuring that production documentation, samples, deliveries, shipments, invoices, and supplier requirements are accurately tracked and managed.

Key Responsibilities

  • Order and manage price stickers as required.
  • Order additional trims, swing tags, and other production requirements where necessary.
  • Follow up with the warehouse regarding outstanding requirements and coordinate claims with suppliers.
  • Follow up and check shipment samples, update the relevant system accordingly, and ensure suppliers maintain their committed sample dispatch dates.
  • Ensure the required checklist is sent to the Cape Town administration office for all shipment samples.
  • Update and maintain delivery schedules for the Sales and Cape Town office.
  • Arrange local and international waybills and track parcels from dispatch through to delivery.
  • Track shipments and deliveries once dispatched until successfully delivered to the customer.
  • Confirm pre-alerts and ensure the correct quantities are shipped.
  • Coordinate warehouse packs, including wash test reports, purchase order reference emails, and sealed samples required for audit purposes.
  • Follow up with the warehouse regarding stock samples required by the Sales team.
  • Communicate and follow up with suppliers regarding packing instructions.
  • Follow up on wash test samples and ensure all required documentation is received.
  • Follow up with the warehouse and ensure ASN (Advance Shipping Notice) is sent to the customer timeously.
  • Reconcile invoices once orders have been audited and approved, checking pricing and units for accuracy.
  • Action and coordinate non-conformance claims with the Sales team.
  • Maintain the monthly schedule for budgets and invoices.
  • Arrange transport where required.
  • Maintain accurate records and ensure all relevant production and shipment documentation is filed correctly.
  • Follow up with internal departments and suppliers to ensure deadlines are met.
  • Assist with general clothing production, logistics, warehouse, and administrative duties as required.

Minimum Requirements
  • Matric (Grade 12).
  • A relevant qualification in Business Administration, Supply Chain, Logistics, Clothing Technology, Production, or a related field will be advantageous.
  • Minimum 2–3 years' experience in an administration, production administration, clothing, logistics, or supply chain environment.
  • Clothing/apparel manufacturing experience is essential/preferred.
  • Experience dealing with suppliers, warehouses, shipments, samples, deliveries, and invoices.
  • Experience coordinating local and international courier/waybill requirements.
  • Good understanding of production and shipment documentation.
  • Strong Microsoft Excel, Word, and Outlook skills.
  • Experience working with ERP, production, or order management systems will be advantageous.
  • Strong administrative and organisational skills.
  • Excellent attention to detail and accuracy.
  • Ability to manage multiple tasks and meet strict deadlines.

What We Are Looking For
We are looking for a highly organised, detail-oriented, and proactive Clothing Production Administrator with experience within the clothing/apparel manufacturing environment.
The ideal candidate must be comfortable coordinating between suppliers, warehouse, production, sales, logistics, and customers, while ensuring that samples, shipments, documentation, invoices, and production requirements are followed up and completed accurately and on time.
Strong follow-up skills are essential, as the successful candidate will be required to monitor multiple outstanding items and ensure that committed dates and customer requirements are met.
