About the position
The Buyer is responsible for sourcing, negotiating, purchasing, and ensuring the timely delivery of raw materials, components, packaging, consumables, and services required for manufacturing operations. The role ensures uninterrupted production through effective supplier management, cost control, inventory coordination, and adherence to company procurement policies.
RESPONSIBILITIES
Procurement & Purchasing
- Source and purchase raw materials, components, packaging materials, and factory consumables.
- Issue purchase orders accurately and timeously.
- Ensure materials are purchased according to production schedules and demand forecasts.
- Follow approved procurement procedures
Supplier Management
- Identify and evaluate suppliers.
- Obtain quotations and negotiate pricing, delivery terms, and payment conditions.
- Build and maintain strong supplier relationships.
- Evaluate supplier performance regarding quality, pricing, and delivery reliability.
- Resolve supplier disputes and delivery issues.
Cost Control & Negotiation
- Negotiate favorable pricing and terms to reduce procurement costs.
- Compare supplier quotations and conduct cost analysis.
- Identify cost-saving opportunities without compromising quality.
Inventory Coordination
- Work closely with production and planning departments.
- Ensure optimal stock levels are maintained.
- Assist in minimizing excess stock and obsolete inventory.
- Coordinate urgent purchases for production requirements.
Documentation & Compliance
- Maintain accurate procurement records and filing systems.
- Ensure all purchase orders and supporting documents are properly authorized.
- Ensure compliance with company procurement policies and procedures.
- Assist with procurement audits and reporting.

- Capture Goods Received Vouchers (GRVs) accurately into Syspro
- Ensure correct pricing, quantities, and supplier information are recorded.
- Process GRVs within company turnaround times.
- Ensure all supporting documents are attached and filed correctly.
Inventory Control
- Update inventory records accurately.
- Assist with stock counts and cycle counts.
- Report stock variances and discrepancies immediately.
- Ensure stock received is allocated to the correct warehouse or location.
Delivery & Logistics Coordination
- Follow up on supplier deliveries and outstanding orders.
- Ensure materials are delivered on time and in full.
- Coordinate with transporters and receiving departments when required.
- Communicate delays or shortages to relevant departments.
Reporting
- Prepare procurement reports and supplier performance reports.
- Track procurement KPIs such as cost savings, delivery performance, and stock availability.
- Report supply risks and procurement challenges to management.
EXPERIENCE & QUALIFICATIONS
- 3-5 years purchasing experience in a manufacturing environment.
- Experience with ERP or inventory management systems (Syspro)
- Strong negotiation, analytical, organizational, and communication skills.
