JOB SPECIFICATIONS
Storeroom & Dispatch
- Oversee and manage packing and dispatch of stock orders.
- Ensure orders are delivered/ collected on time.
- Manage and priorities orders in progress with the incoming and outgoing requests.
- Monitor the allocation and utilisation of infield marketing assets.
- Plan stock quantities departmental requirements and manage stock returned process.
- Ensure all stock received correctly allocated and controlled.
- Ensure request and dispatch reports are reconciled and variance investigated.
- Manage full stock counts on all stores on monthly /Quarterly-hoc basis. Some categories of stock are counted daily.
- Manage all stores procedures and ensure that they are followed and improve procedures where applicable.
- Maintain minimum stock levels, ensure no runouts, and recommend changes.
- Ensure stock card entries mirror computer records.
- Manage stock orders process and ensure accurate records are kept and ensure no loss of stock.
Accommodation Management
- Oversee and manage the procurement of accommodation.
- Ensure the sales teams have adequate accommodation within budget.
- Approve accommodation spend based on distribution lists.
- Review and analyse accommodation spend, identifying key areas to optimise and improve on
Drive sales incentives
- Oversee and manage the procurement of sales incentives.
- Provide communication to agents on their performance during the month.
Fleet Management - Ensure vehicle fleet is maintained and serviced, trip sheets are written up correctly
- Cost each delivery is calculated and records are ascertained when couriers' method would be cheaper
- Understanding of the demands associated with operating a significant fleet of commercial vehicles.
- Up-to-date knowledge of current transport legislation and experience of managing vehicle maintenance contracts.
- Manage and oversee the booking repairs and vehicle roadworthiness.
- Manage and oversee FMR, fuel cards and roadside assistance facilities.
- Own all responsibility for the fleet and its operation and associated legislation.
- Manage fuel card usage.
- Procurement/disposal of vehicles.
- Management and oversight of fleet maintenance vendors, invoicing, approvals, procurement & associated contracts.
- Manage and oversee fleet allocation and utilisation.
Relationship Management/Other - Manage departmental staff, including training requirements, performance, discipline, and timekeeping.
- Supplier relationship building and management.
- Be a dedicated team player and a manager who encourages and supports their team to be accountable for their own work.
- Be able to communicate effectively with third party providers and stakeholders on all levels.
- Manage and maintain any other requirements of the sales force (Sim cards etc.)
NON-NEGOTIABLE REQUIREMENTS
- Completed tertiary qualification. Preferably in: Commerce or Finance / BSc Mathematics or Statistics / Logistics Management or similar.
- Adept at Microsoft Excel
- High level of process improvement and data analytics skills.
- At least 2 years' experience in managing a team.
- Excellent communication and relationship management skills. (NB!)
