About the position

The Technical Records Administrator ensures the accurate recording, organization, and maintenance of all technical records for aircraft and ensures compliance with regulatory and company requirements. The role supports the planning department in scheduling maintenance and ensuring that the necessary documentation is available for audits and inspections.

Key Responsibilities

.Records Management:

  • Maintain and update aircraft technical records, logbooks, and maintenance documents.
  • Ensure all documentation is accurate, complete, and complies with regulatory requirements.
  • Archive and retrieve historical records as required for audits, reviews, and inspections.

Compliance Monitoring:

  • Ensure that all maintenance work is documented and certified according to airworthiness standards.
  • Liaise with maintenance engineers, planners, and other stakeholders to verify the completion of required work and documentation.

Data Entry & Verification:

  • Input data from completed maintenance tasks into the maintenance management system.
  • Verify the accuracy of maintenance entries and component changes.
  • Update aircraft status and log any flight or operational hours for tracking purposes.

Audit Support:

  • Prepare technical documentation and records for internal and external audits.
  • Assist with regulatory audits from aviation authorities.
  • Ensure timely and accurate provision of documents for airworthiness reviews.

System Management:

  • Manage and maintain technical records databases and software.
  • Develop and maintain digital records management processes where applicable.
  • Collaborate with the IT department to resolve technical issues with record-keeping systems.

Collaboration & Communication:

  • Coordinate with the maintenance planning team to provide up-to-date records for scheduled maintenance.
  • Communicate with suppliers and maintenance providers to obtain necessary technical documents and certificates.
  • Assist with record keeping to ensure visibility of progress on schedule maintenance work.
  • Provide reports and updates on aircraft technical records to management.

Education:
Matric / Grade 12
Diploma or certificate in Aviation Maintenance, Records Management, or a related field (preferred)

Experience:

  • Experience in an aviation records or technical administration role
  • Familiarity with aviation regulations and maintenance record-keeping standards
  • Experience with maintenance planning software (e.g., CAMP, AMOS, TRAX) is a plus
  • Skills:
  • Strong attention to detail and organizational skills
  • Proficiency in MS Office (Word, Excel) and experience with digital records systems
  • Proven skills in working with data
  • Ability to work independently and manage multiple tasks under tight deadlines
  • Applies judgment in assessing matters combined with good problem solving and decision making skills
  • Dependable, self-initiative, takes ownership, and displays energy and enthusiasm
  • Excellent communication and interpersonal skills
  • Knowledge:
  • Basic understanding of aircraft maintenance processes and terminology.
  • Knowledge of regulatory frameworks (preferred).
