About the position

Job Overview:

Our client is seeking a proactive and detail-oriented Automation Onboarding & Support Specialist to join our team. This role is critical in ensuring the seamless onboarding, support, and maintenance of automation solutions across the organization. The ideal candidate will have a strong understanding of automation tools (e.g., Blue Prism), infrastructure coordination, and operational support.

Key Responsibilities:1. Automation Onboarding Facilitator

  • Ensure understanding of operational requirements during the design phase of automation solutions.
  • Initiate procurement and allocation of hardware, software, and licenses.
  • Stay updated on changes to operational requirements during development.
  • Facilitate system access for QA and Production phases.
  • Liaise with stakeholders on infrastructure changes and manage impacts.
  • Oversee license procurement, allocation, and recordkeeping.
  • Verify software installations and task scheduler configurations.
  • Coordinate with internal teams on virtual employee setup progress.
2. Automation Continuation Support

  • Proactively manage credential validity in Blue Prism.
  • Assist in setting up and maintaining Blue Prism schedules.
  • Maintain records of manual credential resets.
  • Facilitate retirement of virtual employees (process, infrastructure, credentials, Alfabet).
3. Automation Data Maintenance

  • Review and load approved SDDs into Alfabet for RBB processes.
  • Maintain Alfabet with updates and retirements; ensure process flows are accurate.
  • Maintain the Automate Us database of all Virtual Employees and RPA processes.
4. Employee Onboarding Support

  • Assist in setting up virtual and standard desktops (NTE and others).
  • Support application setup and allocation of hardware/software functionality.
5. Incident Management

  • Log incidents (INCs) according to COE standards.
  • Ensure INCs are closed within a 2-day SLA.
  • Assign INCs appropriately and ensure reports are pulled correctly.
6. Termination Reporting

  • Run SQL queries and prepare monthly termination reports.
  • Ensure reports are sent to stakeholders (e.g., Janize) by the 28th of each month.
7. MDM File Drops

  • Move MDM files from drop to process folders.
  • Notify business units of file processing.
  • Return rejected and completed files to business the next day.
8. Controlling & Monitoring Function

  • Monitor automation processes from 6:30 AM until all are started.
  • Provide WhatsApp updates (6:30–8:30 AM) in the correct format.
  • Identify and escalate operational issues proactively.
Personal Development & Compliance

  • Demonstrate initiative in self-development and continuous learning.
  • Ensure full compliance with all organization policies and training requirements.
Qualifications & Skills:

  • Experience with RPA tools (e.g., Blue Prism) and automation environments.
  • Strong organizational and coordination skills.
  • Familiarity with SQL, Alfabet, and task scheduling tools.
  • Excellent communication and stakeholder engagement abilities.
  • Ability to work independently and manage multiple priorities.
