About the position
The Assessment Officer is a key member of the Assessment Centre, responsible for ensuring the accurate preparation, management, and processing of all student assessments across multiple campus locations. Reporting to the Senior Assessment Officer, this role oversees pre-assessment logistics, invigilator management, assessment tracking, and secure handling of assessment documentation in compliance with institutional Assessment Strategy and Policy.
The Assessment Officer ensures that assessments are conducted efficiently, securely, and in alignment with academic governance and quality standards, while providing exceptional student and invigilator support throughout the assessment lifecycle.
Key Responsibilities
Assessment Preparation & Documentation
- Ensure all assessments are prepared, collated, and packaged accurately according to the Assessment Printing Tracking System (APTS).
- Verify assessment crate contents from external vendors (e.g., Colourtech) and report any discrepancies.
- Manage pre-assessment logistics, including assessment scheduling, venue setup, and IT requirements for practical assessments.
- Ensure assessments, memos, and related documentation are securely stored in compliance with audit and POPIA requirements.
- Update student numbers, venue allocations, and invigilator details in the APTS system to facilitate accurate batching and delivery.
- Manage late assignments and alternative assessment arrangements according to Assessment Strategy and Policy.
Assessment Conduct & Escalations
- Oversee the smooth running of assessments on campus, including supervision of invigilators and coordination of assessment venues.
- Escort students to facilities during assessments and address any on-site queries or issues raised by invigilators.
- Escalate exam condition assessment issues to the Programme Operations Manager and communicate resolutions to all impacted students and invigilators.
- Track assessment incidents and prepare Action Now (FAN) reports for review and follow-up.
Invigilator Management
- Assist with recruitment, training, and scheduling of invigilators.
- Reconcile invigilator reports pre- and post-assessment, ensuring accurate logging and reporting.
- Provide support and guidance to invigilators during assessments as required.
Post-Assessment Processes
- Reconcile completed assessments and ensure secure handover to the Results Centre for marking and moderation.
- Maintain accurate records of assessments, student notes, and invigilator reports.
- Communicate with relevant stakeholders regarding assessment outcomes, discrepancies, and follow-up actions.
General & Team Support
- Participate in campus projects and events, such as Graduation and Open Day.
- Contribute to focus group sessions to improve Assessment Centre processes and student experience.
- Ensure compliance with institutional policies, audit processes, and POPIA legislation.
- Maintain professional communication and collaboration with Academic, IT, and Programme Operations teams.
Minimum Requirements
- Higher Certificate (NQF Level 5) required; National Diploma (NQF Level 6) or higher advantageous.
- Minimum of 2 years’ experience in administration, preferably within a tertiary education environment.
- Strong proficiency in MS Excel, MS Word, and other relevant office applications.
- Demonstrated experience in assessment administration, logistics coordination, or academic operations.
