About the position

The Role:

We are currently looking for a AMEP Personal Assistant to join our Legal Department This role encompasses a wide range of administrative tasks, including telephone management, email handling, travel coordination, presentation preparation, and event management, to support the team effectively.

The Key responsibilities for this role are to:

Telephone Management:

  • Handle incoming calls as the primary contact point.
  • Efficiently screen and redirect calls as necessary.
  • Provide prompt and professional responses to inquiries.
  • Coordinate and schedule conference calls via Skype and Telkom.
  • Administration Communication:
  • Manage electronic diaries for Regional Head - Southern Africa and Divisional Chief Operating Officer - Africa.
  • Handle emails and faxes for both executives.
  • Assist with document preparation and review.
  • Maintain contacts and handle medical and travel claims.
  • Manage personal files and correspondence with private banker.
  • Handle filing and reconcile company credit card expenses.
  • Coordinate administrative tasks for company secretarial matters and board resolutions.
  • Serve as liaison between stakeholders.
  • Monitor and respond to company email.
  • Update contact information and provide support to senior managers.
  • Secure signatures and track document approvals.

Travel Management:

  • Book travel arrangements for staff members.
  • Assist with travel arrangements for Africa Division staff.
  • Manage booking tool and handle changes.
  • Facilitate travel authorizations and document preparation.
  • Handle travel insurance and expense allocation.
  • Meetings:
  • Efficiently schedule and manage meetings.
  • Coordinate venue arrangements and refreshments.
  • Prepare meeting documents and take minutes.
  • Assist with finance meetings and preparations.
  • Preparing Presentations:
  • Create and edit company presentations and organograms.
  • Event Management:
  • Coordinate arrangements for international meetings.
  • Procure venues, accommodations, and logistics.
  • Organize events and correspond with senior management.
  • Coordinate local transportation for delegates.

Recommended Qualifications, Skills, and Experience

  • Grade 12
  • National diploma in Office Management
  • Minimum 5 years' experience at executive level
  • Computer literacy and proficiency In Microsoft Office
  • Experience with international travel arrangements and logistics management
  • Experience In event planning at executive level
  • Must be able to perform a wide range of administrative support activities and assistance to the Divisional Chief Operating Officer - Africa and Regional Head - Southern Africa to facilitate the efficient operation of the organization
  • Understanding of company policies and procedures applicable to the work environment
