About the position

Job Title: Aftersales Support Administrator

?? Location: Centurion, Pretoria
?? Employment Type: Full-time - 12 months contract
?? Department: Aftersales





Purpose of the Role

To support the Aftersales Department by collecting, managing, and sharing accurate information and data to ensure the smooth execution of daily, weekly, and monthly operations. The role involves coordination with dealers, internal teams, and suppliers, focusing on procurement, warranties, sales tracking, and training logistics.



Key Responsibilities



1. Procurement & Parts Ordering

  • Place parts orders for India models via MgO and Turkish models via Erkunt (both Airfreight and Sea Freight).

  • Run reports (Sales and Backorders) using Flonet and/or based on dealer requests.

  • Monitor and follow up on order statuses and backorders.

  • Provide updates to MSA and dealers on order progress and delays.

  • Assist with ASN (Advanced Shipping Notice) processing upon receipt of parts.

  • Make new part numbers live in the system.

  • Compile and submit regular reports:

    • Parts Sales Report

    • Parts Orders Report

    • Parts Backorders Report



2. Warranty Administration

  • Monitor newly submitted warranties and ensure all required fields are completed.

  • Liaise with dealers to obtain any missing warranty information.

  • Collect and file PCR (Product Concern Reports).

  • Confirm dealer receipt and acknowledgment of all technical bulletins.

  • Generate regular warranty reports, including:

    • Submitted claims

    • Feedback received

    • Paid warranties



3. Sales Monitoring & Reporting

  • Monitor daily parts sales and approvals/releases.

  • Track deliveries to dealers and ensure timelines are met.

  • Compile weekly and monthly sales reports.

  • Monitor dealer-level stock vs. minimum required parts quantities.



4. Training Support

  • Assist in planning and coordinating training:

    • Manage training calendars and schedules.

    • Confirm availability and attendance of participants.

    • Maintain attendance registers and training records.



Minimum Requirements

  • Matric (Grade 12)

  • Valid Code B Driver's License

  • Basic computer proficiency in:

    • Windows

    • Flonet

    • MgO

  • Must be highly organized and detail-oriented
