About the position
Are you detail-oriented, highly organised, and passionate about delivering excellent service within the higher education space? We’re looking for a proactive Admission Officer to join a dynamic team dedicated to supporting returning undergraduate and postgraduate students through every stage of the academic life cycle.
In this pivotal role, you’ll ensure the accurate processing of student admissions and registrations, while maintaining compliance with academic policies and administrative best practices.
Key Responsibilities
Student Application & Admission Administration
- Collaborate with student retention teams to process and evaluate admissions-related queries.
- Assess returning student applications against admission criteria and manage communication of outcomes.
- Follow up on outstanding documentation and escalate complex queries when necessary.
- Manage and issue admission letters and track conditional admissions through to full registration.
- Liaise with internal departments, including Finance and Academic Operations, to ensure smooth processing and compliance.
Student Registration Administration
- Verify registration eligibility and pre-requisites.
- Maintain accurate student records, handle de-registrations, and process academic credit information.
- Ensure compliance with data retention and student privacy regulations (PoPIA).
- Track conditional admissions and manage audit readiness in line with national policy and registrar deadlines.
- Support international student compliance, visa documentation, and academic equivalency checks (SAQA/USAF).
Graduation Coordination
- Confirm eligibility of graduation candidates and support graduation processing, including reprints and late applications.
- Prepare relevant certificates and support short learning programme (SLP) administration.
Ticket Management & Reporting
- Process admission, registration, and graduation-related tickets received in person or via support platforms.
- Support regular reporting and liaise with the Assistant Registrar to resolve complex academic or policy queries.
What You’ll Need
- A strong background in administration, ideally within a higher education or academic setting.
- Exceptional attention to detail and ability to work to strict deadlines.
- Proficiency in student information systems and Microsoft Office tools.
- Excellent communication and interpersonal skills.
- A strong sense of accountability, compliance, and service delivery.
