About the position

Job Purpose:
To provide front office reception, administrative and basic finance support to the team. This role is key to ensuring smooth day-to-day operations, accurate processing of customer and supplier documents, and timely support to internal departments.

Key Responsibilities:
Reception and Communication

  • Manage all incoming calls and direct them to the appropriate departments.
  • Greet and assist visitors and clients in a professional and friendly manner.
  • Maintain a neat and professional environment.

Customer Invoicing and Filing

  • Provide support in terms of handling invoices for completed jobs and issue them to clients.
  • Maintain and file all supporting documentation (Quote - Job Card - Invoice) in each customer file.
  • Coordinate with production and sales to ensure accuracy of job documentation.

Accounts Payable Support

  • Capture and prepare supplier invoices for submission to the Accounts Payable Clerk.
  • Assist in collecting and organizing supporting documents for payments.

Sage Project Administration

  • Set up new projects on Sage as requested.
  • Ensure data captured is complete, accurate, and consistent with operational documents.

Debit Card Handling

  • Receive payments made via the company debit card.
  • Perform ad hoc errands that require use of the debit card, ensuring slips and documentation are returned and filed correctly.

Stock Take Assistance

  • Provide administrative support during monthly and year-end stock counts.
  • Assist with preparation and filing of stock count sheets and related records.

General Administration

  • Administer and file employee leave forms.
  • Support with submission and tracking of RMA claims.
  • Assist in general document control and other administrative duties as needed.

Minimum Requirements, Skills and Competencies

  • Matric
  • Minimum of 1 year experience
  • Familiarity with Sage Evolution (advantageous)
  • Computer literacy (Excel, Outlook, Word)
  • Professional and reliable
  • Strong communication and interpersonal skills
  • Good attention to detail and organizational skills
  • Able to work independently and take initiative
