Administrative Assistant / Sales Support Administrator
Overview: The Administrative Assistant / Sales Support Administrator will be responsible for supporting the daily administrative, customer service, quoting, invoicing, and sales coordination functions.
Duties:
Quoting:
• Preparing customer quotations
• Following up
• Converting accepted quotations into sales orders
Invoicing:
• Creating invoices
• Confirming customer information, VAT numbers, delivery addresses, purchase order numbers, and product details
• Assisting with credit notes
Customer Interaction:
• Answering customer calls, emails, and WhatsApp
• Assisting customers
• Keeping customers updated on order progress
Sales and Order Administration:
• Capturing customer orders accurately.
• Coordinating with production and dispatch
• Supporting the sales team
• Preparing basic sales reports
General Office Administration:
• Filing and maintaining company records
• Updating spreadsheets, registers, and internal systems
• Assisting with supplier and customer documentation
• Preparing documents for management
• Supporting internal staff
Debtors and Payment Follow-Up Support
• Following up on outstanding payments.
• Sending customer statements
• Confirming proof of payment
Compliance and Documentation:
• Sending company documents
• Maintaining customer files
• Assisting with product documentation
Requirements:
• Matric / Grade 12.
• Good MS Office skills
• Reliable transport to and from work, Office based in Pretoria East
• Previous experience in administration, sales support, invoicing, or customer service.
• Experience working on accounting or ERP systems
• Experience preparing quotations and invoice
• Experience in a manufacturing, chemical, water treatment, or distribution environment will be advantageous
Remuneration:
R20000 negotiable
