Purpose of the role:
Westfalia Fruto Moçambique is seeking a detail-oriented and proactive Packhouse Administrative Manager - to join our dynamic team. If you have strong organizational skills, a passion for supporting smooth operations, and experience in clerical and administrative roles, we'd love to hear from you!
Key Responsibilities:
Health and Safety:
- Ensure adherence to health and safety protocols, supporting ISO45001 certification efforts.
- Facilitate accident and near-miss reporting, analyzing trends and implementing corrective actions.
- Assist in monitoring the safety of facilities, identifying areas for improvement and implementing preventive measures.
- Participate in health and safety toolbox talks, employee inductions, meetings, and other relevant activities to promote a culture of safety and compliance.
Administration:
- Manage inventory operations and procurement.
- Coordinate administrative tasks and support marketing activities.
- Manage inventory operations, including stock control related to packaging materials, production to ensure optimal levels and prevent shortages.
- Facilitate purchase and works orders for food production in collaboration with the Finance Administrator as needed, ensuring timely procurement of necessary materials and services.
- Ensure that fruit production figures balance daily, meticulously verifying data and reporting any discrepancies to relevant stakeholders.
- Collaborate with Marketing and Finance departments to produce daily packout reports for growers, logistics providers, and other stakeholders, ensuring accurate and timely communication of production outputs and achievements.
- Possibility of assisting with the administration of SA-based packhouses, including the oil factory.
Logistics:
- Responsible for the clearance of trucks at the border.
Internal Audits:
- Organize internal audits within the business.
Packhouse KPIs:
- Monitor productivity, audit status, and health & safety metrics.
Finances
- Track financial transactions and stock control.
- Monitor stock variances and audit status
ERP:
- Utilize agricultural software such as Paltrack, Palbroker, and/or Palfarm for various purposes including farm management, crop tracking, and supply chain coordination.
- Ensure seamless integration of agricultural software with enterprise resource planning (ERP) systems such as D365 and AX, facilitating the uploading of production and financial data on a daily, weekly, and monthly basis.
- Coordinate with relevant stakeholders to ensure accurate and timely uploading of production data, including crop yields, quality metrics, and inventory levels, into ERP systems to inform decision-making processes.
- Collaborate with Finance department to upload financial data, including transaction records, purchase orders, and invoices, into ERP systems for accounting and reporting purposes, ensuring data integrity and compliance with financial regulations.
- Provide support for testing, troubleshooting, and maintenance of ERP systems, working closely with IT and external service providers to address any issues and optimize system functionality for efficient business operations.
Education:
- Degree in Administration or a related field.
Experience:
- Minimum of 2 years of experience in an administrative role or related field.
- Previous managerial experience (preferred).
- Previous administrative experience (preferred).
Behavioural Competencies:
- Administrative and clerical procedures.
- Health & Safety standards and compliance.
- Inventory management and logistics.
- Proficiency in Microsoft Office.
