About the position

JOB DESCRIPTION

The duties and working hours of the employee will be to provide the general and administrative support services to Mondiale Investment Group (Pty) Ltd and any of its related entities. The key administrative and support services will be split between Equilibrium Financial Advisory Services (Pty) Ltd and RiFF Distribution Services (Pty) Ltd as the duties and specifications are required on a daily basis as set out below:

General

  • Ensure that the executives and team are set up for success
  • Occupy the front desk of the office and performing the reception duties as per the reception duties schedule.
  • Keep the teams' data and organograms and internal CRM 's updated
  • Support the flow of information within the manager's office, ensuring that matters requiring their personal attention are handled speedily
  • Escalate faults and other housekeeping issues with the relevant service provider and ensure queries are resolved within the given timeframes
  • Accurately escalate client complaints and queries to the relevant department
  • Ensure files are kept in order and easily accessible
  • Collate, compile and distribute executive packs for important meetings, with a high level of detail orientation to ensure accuracy.
  • Add to the executives' efficacy by facilitating ad hoc personal matters efficiently and with high levels of confidentiality
  • Engage with clients in a client centric manner (Client Services)
  • Build and maintain relationships with clients and internal and external stakeholders
  • Participate and contribute to a culture which builds rewarding relationships, facilitates feedback and provides exceptional client service
  • Develop and maintain productive and collaborative working relationships with peers and stakeholders

RiFF Distribution Services (Pty) Ltd

  • Phoning a minimum number of IFA's and setting up of meetings for BC's of RiFF
  • Maintain a database of IFA's which have been phoned and contacted through the internal CRM system.
  • Maintenance of BC's diaries and appointments.
  • Loading and completion of SLA's and linking of Product provider codes to Platforms on the CRM system.
  • Manage administration of IFA's that form part of "House Brokers" through the leadtrekker software programme.
  • Provide supporting services to BC's through completion of quotations, fund comparisons and calculators and any other support services required to ensure the BC's functions optimally.
  • Provide personal administrative and support to the executive.
  • Pro-actively screen incoming calls, correspondence and respond independently where possible
  • Co-ordinate all the components (logistics, catering etc.) of events, meetings and functions within budget and specifications.

Equilibrium Financial and Advisory Services (Pty) Ltd

  • Maintaining of database of client leads on the EFAS CRM system, being Atwork, Leadtrekker and the NBR.
  • Phoning of client lead lists with a minimum number of clients a day, to secure appointments for the financial planners of EFAS and setting up of meetings for financial planners via the atWork system.
  • Provide administrative and support to the financial planner and assisting the Executive with all FAIS Compliance for the FSP.
  • All administrative support services required by the Executives of EFAS.
  • Coordinating with Product providers to finalise any outstanding business.
  • Assist with planning and client presentation packs.
  • Support the flow of information within the practice and being available to support the Financial Planners.
