About the position

Position: Admin Officer.
Contract Period: 24 months / 2years.
Annual salary: R200 635,00 per annum.
Location: SAHRA Pretoria Satellite Office.
Closing date: 13 March 2023 at 5pm.

PRIMARY PURPOSE OF THE JOB:
To offer administrative support, digitization of records, developing and managing databases and filing systems for the Repatriation and Restitution Office (RRO).

KEY PERFORMANCE AREAS:
KPA 1: Data Capturing and Record keeping.
KPA 2: Coordination of RRO Administrative functions.
KPA 3: Administrative Support.
KPA 4: Report writing.

KEY PERFORMANCE AREAS:
Data Capturing:

  • Capturing of information of information on requests for restitution on human remains and heritage objects into the Database and on SAHRIS.
  • Scanning and digitization of archival records and photographic materials.
  • Uploading and updating information into SAHRIS.
  • Capturing data into spreadsheets.
  • Developing and maintaining online files in accordance with SAHRA policies.
  • Capturing permit applications received for exhumations and repatriation of remains.

Coordination of RRO functions:
Undertake all day-to-day administrative tasks relating to the Repatriation and Restitution Office.

  • Receiving calls and transferring them to the relevant staff members, take messages in their absence or assist the caller where possible.
  • To work closely with management in coordinating the activities of the office.
  • Undertake all day-to-day administrative tasks related office.
  • Collate copies of office correspondence and documents.
  • Identifying stationary requirements and ordering when needed.
  • Co-ordinate all other logistical planning of the RRO including events, meetings and taking of minutes.
  • Liaise with other partner institutions in sharing of information and databases.
  • Develop and maintain an inventory of all heritage restituted objects and human remains.

Administrative Support:

  • Provide administrative support to the Repatriation and Restitution Office (RRO) including, but not limited to, processing of travel and related logistics, and meeting logistics.
  • Obtain and prepare submissions for purchasing of goods and services.

Report writing:

  • Prepare reports, and minutes.

JOB REQUIREMENTS:

EDUCATION and/or EXPERIENCE:
At least a Certificate and /or Diploma in Office Administration, or equivalent.
Minimum 2 years work experience in an administration support role.

Other skills required:
Basic numeracy.
Information/records management.
Data capturing, scanning and digitization.
Report writing.
Logistics coordination.

LANGUAGE SKILLS:
Ability to read, write, and communicate and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

NUMERICAL SKILLS:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY:
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

LICENCES:
A valid Code EB (08) driver's licence.

COMPUTER SKILL:
Computer literacy with regard to the use of Excel, Word and Power Point.
