About the position

Core Outputs

  • Assist account managers with sales workflow functions (proposals, quotes, purchase orders and invoices) to effectively support sales operations.
  • Ensure meeting rooms are stocked with snacks and refreshments for client meetings held at our offices.
  • Coordinate and arrange catering for impromptu client gatherings organized by account managers.
  • Manage the logistical aspects of sales events and functions, collaborating closely with the Marketing team on strategic event planning.
  • Administer the Salesforce system, including but not limited to setting policies, managing user rights, and ensuring data accuracy.
  • Generate daily, weekly, and monthly sales reports from Salesforce to track opportunities and ensure data integrity.
  • Maintain client contacts in Salesforce to ensure accurate and up-to-date information.
  • Monitor and enforce the timely and accurate entry of sales data by account managers to facilitate precise reporting.
  • Collaborate with the sales team to identify areas for process improvement within Salesforce administration.
  • Sales Collateral Management: Work closely with the Sales & Marketing teams to assist in the creation, distribution, and tracking of sales materials, presentations, and proposals.
  • Documentation and Filing: Organizing and maintaining sales documentation and files in both physical and electronic formats for easy retrieval and reference.
  • Training and Onboarding Support: Assisting in the training and onboarding of new sales team members, including providing guidance on sales processes, tools, and systems.
  • Administrative Support: Providing general administrative assistance to sales team members, including scheduling meetings, managing calendars, and handling travel arrangements.
  • Expense Reporting: Managing and processing expense reports for the sales team, ensuring compliance with company policies and guidelines.
  • Handle other general sales administration tasks as assigned, ensuring efficient operation of the sales department,and supporting the team's overall objectives.
  • Paralegal: Preferred candidates will have experience or exposure to Paralegal duties, offering a unique opportunity to apply legal knowledge in a Sales administrative role.

Essential Requirements

  • Paralegal experience is highly beneficial.
  • Previous experience or certification in CRM (Salesforce) administration is highly beneficial.
  • Strong administration abilities with a keen attention to detail.
  • Excellent communication skills, both verbal and written (English).
  • Ability to multitask and prioritize tasks effectively in a fast-paced environment.

  • Experience and understanding of the sales workflow, including proposals, quotes, purchase orders, and invoices, to effectively support sales operations.

  • Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint).
