About the position

Main purpose of the job:

  • Management and strategic oversight of the Operations Team that provides effective operational services to the division and projects therein
Location:

  • VIDA – Chris Hani Baragwanath Academic Hospital – Soweto, Johannesburg
Key performance areas:

  • Set objectives and establish priorities for the Operational Team in line with company strategy and objectives
  • Identify trends not addressed in current policies and procedures and formulate policies and procedures to address risks and/or shortcomings as identified
  • Assist the chief people officer in maintaining effective recruiting, onboarding, and retention of employees
  • Assist with establishing policies that reinforce company culture
  • Develop new models and implement change where necessary
  • Comply with relevant legislation and establish standards in compliance thereof
  • Monitor, evaluate, and report progress and results monthly, quarterly, and annually
  • Build and maintain relationships with key stakeholders, including but not limited to customers, partners, clients, and board members
  • Identify areas of risk or opportunity that may shape the ongoing strategy and directions of the organization
  • Monitor key metrics to ensure that budgeted deliverables are met
  • Develop systems and reporting that inform financial performance and decision-making
  • Ensure that sustainable, quality services are delivered to meet the needs of the community and that key performance indicators are met
  • Design an operational framework where systems, people, policies, and processes are accessible and enable users to deliver on performance outcomes
  • Build an operational framework that enables synergy between back-of-office functions and frontline services
  • Create new solutions to improve processes, operations, and practices
  • Evaluate business activities in terms of value-added impact and balance opportunities and risk
  • Monitor and evaluate service delivery and supplier relationships
  • Participate in and/or facilitate meetings as required to ensure good stakeholder relations
  • Liaise with donors, providing necessary updates when required
  • Direct and coordinate budget and financial activities within the department and scope of operations
  • Effectively manage the VIDA assets (i.e. building, vehicles, and equipment) to ensure optimal and cost-effective utilization
  • Liaise effectively with the Finance Team and Management regarding all financial matters
  • Manage the procurement system which includes but is not limited to procurement, creditors and payments, petty cash, stock control, meetings and events, special projects, and audits
  • Develop and maintain relevant administration policies and procedures within the Operations department and operations scope of work
  • Implement standardized policies and procedures across the organization and projects
  • Coordinate and improve administrative processes where possible
  • Supervise and manage the duties of subordinates
  • Ensure timely resolution of IT-related issues
  • Oversee the IT Department to ensure day-to-day functionality
  • Audit productivity levels of the IT department on a monthly basis and implement changes where necessary
  • Conduct monthly meetings with members of the IT department and discuss strategic goals
  • Comply with relevant legislation and establish standards in compliance thereof
  • Develop strategic partnerships and manage supplier relationships
  • Ensure operating protocols are in place for equipment and processes

  • Management of the Occupational Health & Safety Team
  • Monthly reporting on accidents and incidents & mitigate risks where possible
  • Oversee average resolution time for OHAS matters
  • Comply with legislation related to OHAS
Required minimum education and training:

  • Grade 12 with a relevant tertiary qualification
Required minimum work experience:

  • Minimum of 4 years of work experience with at least 2 years of staff supervision/management experience
