About the position
Front of House & Customer Service
- Greet and welcome guests and staff professionally.
- Answer, screen and forward calls promptly and professionally.
- Provide accurate information in person, via phone and email.
- Direct visitors to right host or meeting rooms.
Reception & Security Management
- Maintain a well-kept and welcoming reception environment.
- Manage visitor sign-in via the visitor management system and issue visitor cards.
- Ensure compliance with security protocol and control access through reception.
- Manage and help with meeting room calendar bookings via booking system.
- Preform daily inspections in all boardrooms with checklist sign off. Report on any damage, equipment not working and ensure rooms are ready for next meeting.
- Check with the meeting host for beverage requirements and direct beverage requirements if any to the Tea Ladies.
- Monitor Coffee machines and Water coolers daily, log calls with service providers when machines are not functioning.
Administrative Support
- Attend to clerical tasks such as filing, data entry, and document preparation.
- Maintain and update staff directory monthly.
- Assist with internal communication and scheduling.
- Assist with internal communication and scheduling.
- Assist with stock take.
- Organize and manage internal training and meeting requests.
- Coordinate setting up for catering and equipment.
- Oversee deliveries and distribution thereof.
Experience & Qualifications
- Previous experience in reception is essential, 8 years plus.
- Administration experience is essential.
- Event coordination preferred.
- Proficiency in MS Office and visitor management systems.
- Sound knowledge of corporate governance and security protocol.
- Front of House etiquette and conflict training/experience.
