About the position

Must be willing to travel every couple of months into Africa - valid passport. 
The main purpose of this position is to handle the full property management function of a portfolio of retail properties in Zambia.
REQUIREMENTS:

  • Must be willing to travel every couple of months into Africa
  • Matric
  • Tertiary qualification preferred. 
  • 3-5 years experience in Retail Property Management


DUTIES:

  • Preparing all leases, addendums, renewals cessions & letters to tenants
  • Opening and preparing tenant lease files
  • Loading of all tenant charges + leases (Using Nicor platform)
  • Tracking and preparing all lease renewals
  • Updating letting schedules monthly
  • Calculating corrections, back charges and adjustments for review and processing on Nicor
  • Calculations of CPI escalations per tenant (Monthly & Annually)
  • Update reconciliations, draft letters to tenants and process necessary back-charges
  • Vacating of tenant process to be managed (Take back inspections forms, vacating of systems etc.) Administrative process as well as Operational process
  • Responsible to prepare and review monthly municipal charges and recoveries from meter reading on tenant accounts
  • Review monthly pre-billing for all buildings
  • Preparing and compiling monthly management and shareholder reports for review
  • Liaising with legal department and bailiff in Zambia to assist tenants who have defaulted and been handed over for relevant action and necessary feedback to Centre managers
  • Review tenant age analysis reports on a weekly basis and liaise with debtors/leasing/Centre management
  • Obtain annual audited turnover certificates & prepare calculations accordingly
  • Managing notices and tenant correspondence
  • Assist in preparing tenant income budgets/forecast per property
  • Ensure that all assets are well maintained in accordance with relevant health and safety regulations
  • Assisting Centre managers on day-today functions and communicate with Centre managers on daily basis
  • Receive, review supplier invoices and capture on tracking sheet and submit to Finance
  • Receive, review all Centre manager petty cash submissions
  • General office/property management administration in conjunction with the property manager role
  • Performing property management duties as required by Senior Property Manager & Management/Shareholder request.
