KEY OUTPUTS

  • Training and Skills Development
    • Accurate invoicing, service provider record–keeping and training statistics capturing for WSP and ATR annual reports submissions
    •  Co-ordinate all Training requirements and bookings and Induction processes
  • Employee Relations (IR)
    • Accurate ER / IR / Performance Management Discyssion record keepin
    • Entry level, accurate ER / IR advise eg absence trends to each manager each month

  • HR Administration
    • General HC Administration of a staff turnover for ±150 employees  
    • Compile, manage and audit the personnel files accurately and systematically
    • Liaise with staff on general personnel, leave, policy and procedure issues
    • Administer and attend to all staff queries pertaining to payroll, retirement funds, medical aid & payroll; home loans etc.
    • Administer disability & death claims; garnishees etc according to legislation;
    • Monitor and control job offers and relevant new start documentation timeously
    • Intern and Job Shadow management and response handling
    • Set up probation meetings and record documentation
    • Liaise with Finance Department with respect to relevant employee issues, invoices and payments (agencies, freelancers, service providers)
    • Arrange meetings, venues and refreshments
    • Co-ordinate diaries - electronic and manual
    • Management and updating of Organograms, Staff lists, extension lists, birthday lists etc
    • General correspondence and service response handling
    • Liaise with Johannesburg Head office on HC Matters
    • Performance management appraisal review record-keeping
  • Facilitation of the Recruitment and Selection process
    • Conduct entry level, first line interviews for lower ranking positions
    • Manage all administration related to this area
    • Calculate accurate cost to company packages for new recruits
    • Prepare accurate employment contracts dependent on relevant criteria
    • Payroll Administration
    • Ensure that all payroll input ie terminations, new engagements, changes to medical aid etc. is documented, signed off and submitted timeously for payroll processing;
    • Ensure that attendance registers are timeously received from the line managers and checked against actual clocking data, an input sheet is generated with regard to overtime and short time and submitted to payroll for processing;
    • Check payroll pre-run against all inputs provided and correct errors where necessary; final variance report to be generated for verification and sign off;
    • Manage and Control Leave Records & Time and Attendance ie 

-       Capture leave onto VIP &  Generate leave reports

-       Reconcile VIP and ESS leave for all staff on a monthly basis.

-       Investigate staff leave queries  and follow up on leave queries

-       Monitor and communicate and control excess leave;

-       Follow up on outstanding leave forms and attendance records

  • New engagements: Prepare documents & process;
  • Terminations: Prepare documents and process;
  • Medical aid applications, cancellations and queries.  
  • Provident fund entry  and dependants nominees and queries
  • Submission to UIF of  information changes about employees

SKILLS AND KNOWLEDGE

  • VIP Premier Payroll package practical skills (current utilisation not negotiable)
  • MS Excel, MS Powerpoint, MS Word, MS Outlook
  • Excellent Time Management, Organisational and Prioritisation skills
  • Logical decision making skills in side and and outside of the HR field of reference
  • Practical exposure to Recruitment, IR and Skills Development
  • Administration focused to ensure accuracy of records  
  • Accurate with high degree of attention to detail
  •  Excellent service orientation, Interpersonal and Communication Skills
  • Flexible to adapt and change course to deliver on new business needs and deadlines without compromising on other deliverables
  • Above average, developed cognitive skills (reasoning, perception, auditory processing and intuition)
  • Ability to perform mental operations as well as attend to multiple tasks in a fast paced business environment.
  • Ability to store and recall information and link seemingly unrelated, variable data that may appear not to have a relationship.
  • Excellent knowledge of the BCEA, Labour legislation and Industrial Relations

EXPERIENCE REQUIRED

  • 3 - 5 years experience in an HR Administration position within a fast paced, high energy, creative organisation
  • At least 4 years VIP Payroll (Premier package) experience at a intermediate to advanced level
  • HR service delivery to 150 or more staff including straight and shift workers
