About the position

The Chief of Staff is pivotal in providing strategic guidance, coordination, and decision
support to the Scheme's Principal Officer (PO). This position is vital in driving Scheme effectiveness, performance, and compliance with regulatory requirements. The Chief of Staff is responsible for ensuring the overall efficiency of the Principal Officer's Office and facilitating the achievement of strategic objectives through a coordinating function.
The Chief of Staff is a trusted advisor to the PO and collaborates closely with internal and external stakeholders to facilitate the achievement of strategic objectives.
The role involves various responsibilities, including writing general communications, presentations, and strategic reports.

Strategic Advisor:

  • Prepare the Principal Officer for meetings by providing necessary information and
  • Provide evidence-based strategic guidance, insights, and recommendations to the PO and the Board on various Scheme matters.
  • Assist in shaping the PO's agenda and priorities in alignment with the overall strategic direction of the Scheme.
  • Convert complex data into well-written documents, including reports, presentations, speeches, memos, and submissions.
  • Present options or alternatives for
  • Evaluate the potential impact of decisions on the Scheme's objectives, performance, and stakeholders.
  • Ensure there are performance dashboards periodically to enable performance monitoring and decision-making

Coordination and Execution

  • Oversee the coordination and execution of initiatives, projects, and activities across different departments or functional areas within the Scheme.
  • Liaise with senior management to facilitate communication channels and ensure effective collaboration.
  • Ensure that scheduled or ad hoc meetings are confirmed, agenda items are submitted on time, and accurate minutes are taken for key strategic meetings

Stakeholder Relationship building and Management:

  • Build and manage relationships with critical internal and external stakeholders (e.g. SAPS, BoT, CMS, ), representing the PO and fostering positive interactions.
  • Define proper protocol and standard operating procedure for the Office of the PO to ensure decorum, etiquette, and respect in all interactions.
  • Maintain the PO's stakeholder map and engagement plan, scheduling and preparing for various stakeholder engagements.

Special Projects

  • Oversee the PO's special and pilot projects, ensuring alignment with strategic objectives, timelines, and resource allocation.

  • Monitor compliance with submission timelines for different governance and regulatory bodies.
  • Respond promptly and professionally to various ad hoc projects and business

Governance (secretariat) oversight and Regulatory Compliance

  • Ensure scheduled or ad hoc meetings are confirmed, and agenda items are submitted on time.
  • Ensure secretariat oversight through support for the Board and senior management in fulfilling governance responsibilities by providing guidance on best practices and facilitating board meetings.
  • Ensure that all strategic and confidential documents are retrieved as necessary and ensure compliance with regulatory requirements for document management, contributing to a high-performance corporate culture.
  • Ensure compliance with submission timelines for different governance and regulatory bodies.

QUALIFICATIONS

  • Bachelor's degree in business administration, Management, or a related field; Master's degree preferred.
  • Proven experience in a strategic advisory role, preferably in the healthcare or insurance
  • Strong analytical skills with the ability to interpret complex data and provide actionable insights.
  • Excellent communication and presentation skills, with the ability to convey information clearly and effectively.
  • High level of integrity, maturity, and confidentiality.
  • Flexibility and self-driven attitude, comfortable with ambiguity and able to thrive in a fast-paced environment.
  • Proficiency in Microsoft Office suite and other relevant software applications.
  • Experience in stakeholder management and relationship building.
  • Ability to multitask, prioritise tasks, and meet deadlines in a dynamic work environment.
  • Knowledge of regulatory compliance requirements in the medical schemes industry is key.
